This policy explains what information IntakeLine collects, how we use it, and the choices you have. It covers both our website and the AI receptionist we operate on behalf of law firms.
01Who we are
IntakeLine provides a 24/7 AI receptionist that answers calls for personal injury law firms, runs intake, books consultations, and sends documents for signature. This policy explains what we collect, why, and the choices you have.
Two relationships matter here. When you visit this website or partner with us, IntakeLine is the controller of your information. When our AI answers calls on behalf of a law firm, the firm is the controller of that call data and IntakeLine is its processor, acting on the firm's instructions under a separate agreement.
02Information we collect
Depending on how you interact with us, we collect:
- Site and partner data: name, email, company, role, and anything you submit when you request a demo or apply to become a partner.
- Demo call data: if you start a live demo call, we process your microphone audio in real time to run the conversation. The browser demo is not recorded for marketing without your consent.
- Caller intake data (on behalf of firms): when our AI answers a firm's calls, it may capture the caller's name, contact details, a description of the incident and injuries, insurance information, appointment selections, and a recording and transcript of the call.
- Technical data: IP address, device and browser type, and basic analytics about how the site is used.
03How we use information
We use information to:
- Operate the service: answer calls, run intake, book consultations, and deliver intake records to the relevant firm.
- Run the partner program: evaluate applications, provide dashboards and reporting, and calculate revenue share.
- Support, secure, and improve the product, including diagnosing issues and preventing abuse.
- Communicate with you about your account, a demo, or a partnership.
04We do not sell your data
IntakeLine does not sell personal information, and we do not use caller intake data to train third-party AI models. Call data handled on behalf of a firm is used only to deliver the service to that firm.
05Service providers
We rely on a small set of vetted vendors to run the product. They process data only on our instructions and under contract:
- Voice and conversational AI infrastructure that powers the live call and transcription.
- Scheduling and calendar providers used to book consultations.
- Cloud hosting, error monitoring, and analytics providers.
- E-signature providers when a firm uses the document-signing feature.
06Call recording and disclosure
Calls answered by the AI may be recorded and transcribed for the firm's records and quality. Recording laws vary by state, including states that require all parties to consent. Each firm is responsible for the disclosures and consents required in the jurisdictions it serves, and the AI is configured to disclose that it is a virtual assistant when asked and where local rules require it.
07Data retention
Site and partner data is kept for as long as your relationship with us is active and as needed for legitimate business and legal purposes. Caller intake data and recordings are retained on behalf of the firm according to the firm's instructions and its own retention schedule, and are deleted or returned when that schedule requires or the firm's agreement ends.
08Security
We protect information with encryption in transit and at rest, access controls, and least-privilege practices. No system is perfectly secure, but we work to limit who can access data and to detect and respond to issues quickly.
09Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, or to object to certain processing. For data we control, email us and we will respond as required by law. For caller intake data that a firm controls, we will refer your request to the relevant firm and assist them in responding.
This service is intended for businesses and adults. It is not directed to children, and we do not knowingly collect information from anyone under 16.
10Changes to this policy
We may update this policy as the product and the law evolve. When we make material changes, we will update the date above and, where appropriate, notify you. Continued use of the site or service after an update means you accept the revised policy.
